
The Members’ Assembly (you!) is the union’s highest decision-making body. At the assemblies, you vote on:
- ASSEP orientations, by proposing mandates
- ASSEP’s budgets and how they are allocated
- your unit’s list of demands for bargaining, prior to the process of renewing your collective agreement
- the members of your union team, via elections to the various positions

Any member in good standing can apply to a position at ASSEP!

The Executive Committee (“CE” for its French acronym) is the key player in the organization and communication of the syndicate. The currently elected members are:

The coordinator coordinates the activities of all elected Union members and represents the Union in the media.
The treasurer manages the Union’s accounts and payroll.
The person in charge of the secretariat documents and records the Union’s activities.
The person in charge of external affairs represents the Union in bodies within and outside Polytechnique.
The person in charge of mobilization and communications organizes mobilization events and proposes plans to increase the Union’s visibility.
There is one person responsible for labour relations per unit. The person responsible for labour relations ensures that the collective agreement for his or her unit is properly applied, and acts as liaison between members and Polytechnique in the event of a conflict.

The members of the Union Council (“CS” for its French acronym) are responsible for carrying out the tasks necessary for the running of the Union, mobilizing members and carrying out the mandates given to them by the Assembly.
The Union Council is made up of the Executive Committee and the stewards.
Stewards are responsible for ensuring that the collective bargaining agreement for their unit is applied in their respective departments. There is no limit to the number of stewards, and the ideal is to have at least one per department, so that issues can be raised as quickly as possible!

General Assemblies are open to all members in good standing, while Unit Assemblies are open only to members of the accreditation unit concerned.
The quorum corresponds to the minimum number of participating members required to open the Assembly.
Statutory General Meetings are mandatory and defined in our Bylaws and Regulations.
- To maintain a link with members and enable them to submit any questions of interest, hold elections and ensure the Syndicat’s sound financial management.
- 2 times a year, in Autumn and Spring.

- To deal rapidly with an important subject defined in advance by the body or members convening it.

- For reasons linked to the negotiation process.
- At least 10 days’ notice for a regular assembly, and at least 72 hours for a special assembly.

- Quorum of 10 members in good standing belonging to the unit concerned.
- Only to discuss a strike mandate, during a negotiation process.
- Convened in at least 10 days.

- Quorum of 10 members in good standing belonging to the unit concerned, or 5% of the unit’s workforce if greater.

A negotiating committee is elected for each ASSEP bargaining unit, usually the year before the collective agreement expires. Its mandate is to carry out the process of negotiating the unit’s collective agreement.
Up to 3 members may be elected to the bargaining committee, in addition to the coordinator, the unit labour relations officer and a PSAC representative.

Working committees are set up at members’ assemblies or by the Union Council in response to a clearly identified mandate.

The Finance monitoring committee is mandated to audit the books of account and oversee the Union’s assets. The committed submits a report to the General Assembly.
- The committee was elected in April 2023 for a one-year term.

No ad hoc committee is currently in place.
Every member in good standing can be elected at ASSEP, and conditions are the same regardless of the unit of origin.
- Total rate of 32,39$/h as of June 1, 2023, automatically indexed (3rd cycle repeater rate).
- Access to paid trainings, with travel and meals included if outside Polytechnique.
- Adapt your workload to what you can give: no minimum number of hours, and a maximum of 80 hours/2 weeks.
- Elections take place at Statutory General Assemblies. In the event of a vacancy, the body empowered to do so may co-opt a member.
